Works with both QuickBooks Desktop and QuickBooks Online.
Native IIF output for Desktop. CSV for Online. Direct API push coming Phase 2.
QuickBooks Desktop (IIF file download)
Convert your design in the Studio
Download the IIF file
Open QB Desktop > File > Utilities > Import > IIF Files
Done — invoice is ready in QuickBooks
What's preserved
Customer info, invoice number, every line item, quantities, prices, sales tax handling, and account assignments. Long descriptions are truncated to QB Desktop's 41-character customer name limit with friendly truncation — never in the middle of a word. Line item descriptions respect the 4,000-character limit per memo field.
Field limits we handle for you
11
Character invoice number limit
41
Character customer name limit
4,000
Character total notes limit
All enforced at conversion time so the IIF imports without error. No trial-and-error importing.
Tax handling
Multiple tax codes supported. Tax rates are preserved from your Design Flex setup and mapped to QuickBooks Desktop's tax items. Multi-tax scenarios (state + local) handled correctly.
Compatibility
QuickBooks Desktop Pro, Premier, and Enterprise — 2018 and newer. Multi-user setups supported. The IIF import works regardless of which user is logged in, and respects your existing user permissions.
QuickBooks Online (CSV + Phase 2 API push)
Convert your design in the Studio
Download the CSV file
Open QBO > Sales > Customers > Import > Transactions
Map columns once — future imports remember your setup
What's preserved
Customer info, invoice number, every line item, quantities, and prices. QBO computes its own sales tax server-side, so KitchenAPI passes line totals through without forcing per-line tax assignment. Your QBO tax configuration handles the rest automatically.
Field limits
21
Character invoice number limit
100
Character customer name limit
All enforced at conversion time. Your CSV will import cleanly on the first try.
Tax handling
QuickBooks Online computes tax server-side based on your customer's address and your tax setup. We pass through line totals; QBO calculates the tax. This means you never have tax mismatch errors during import.
Compatibility
All QuickBooks Online tiers: Simple Start, Essentials, Plus, and Advanced. Works in any modern browser.
The Phase 2 path: Direct API push
Direct API push to QuickBooks Online is in development. With our Professional Services team, we can set this up for you today — it eliminates the CSV download step entirely. Invoices appear in QBO automatically after each conversion.

Does this work with QuickBooks for Mac?
QuickBooks for Mac will be supported in Phase 2 via direct API push. Today, if you run QBO (which works in any browser on Mac), you can use the CSV import workflow immediately.
Will it overwrite my existing QB data?
No. KitchenAPI creates new invoices via IIF or CSV import. It never modifies or deletes existing records in your QuickBooks file. Each conversion creates a new transaction.
What if my customer doesn't exist in QB yet?
QuickBooks Desktop will auto-create the customer record during IIF import. QuickBooks Online will prompt you to create it during CSV import, or you can enable auto-creation in QBO's import settings.
How long does setup take?
Most dealers are running their first conversion within 15 minutes of signing up. The one-time SKU mapping (matching your Cyncly items to your QuickBooks Item List) takes about an hour for the first 100 SKUs, which covers most of your daily volume.
